Exhibitor Information

Hotel Rooms

We have a block of rooms at the Hilton St. Petersburg Bayfront. You can order online or call and ask for the FAEA Group Block.

Hotel Logistics:

Shipping and Receiving: Information will be available soon 

Loading In: There is a 15-minute loading zone on 4th Avenue South with an entrance into the conference center portion of the hotel.  Bellhops will also be available to assist with unloading at the main Valet parking drop-off area.  

Electrical, internet, and A/V Services: Order forms from Encore will be posted soon. All electricity must be ordered through Encore; you are not allowed to run your own extension cord. 

Name Badges & Final Payment: Please add name badges to your online order for your staff who will be working at your booth at the conference. Please do this by October 10 to ensure we have them printed and ready for you when you arrive. 

  1. Click https://cfaefl.org/sponsors and Login
  2. Click the Badges button
  3. Select the first person from the drop-down and click Add Badge  
    (If the person you want to add is not in the drop-down, select "**Not Listed Below**" from the drop-down and it will take you to a page to add them)
  4. Their name should appear in a table below the drop-down and button. Once they appear in that table, we will print a badge for them.
  5. Repeat for anyone else who will be working at your booth.
  6. Click the Continue button when you have added all your badges
  7. You will then be taken to the Order Summary page. If your total balance due is greater than $0.00 please click the button that says Pay Full Balance.

You can pick up your badges in the exhibit hall itself, the Grand Bay ballroom, on Thursday when you arrive. You can go straight to the exhibit hall, no need to stop by the registration desk.

Thursday, October 17

8:00 a.m. - 5:30 p.m. - Load-in/Setup

6:00 p.m. - 7:00 p.m. - Opening Reception in Exhibit Hall
(Please no hands-on demos at this time, this is just a meet-and-greet welcome reception with the attendees, featuring passed appetizers and a cash bar.)

~7:30 p.m. (TBA)- Exhibitors are invited to the Member Virtual Exhibition Awards Reception, held at the Museum of Fine Arts

 

Friday, October 18

9:00 a.m. - Exhibits Open 

~9:00 a.m. until 10:00 a.m. - Dedicated Exhibit Hall Time scheduled following General Session

1:00 p.m. - Exhibit Hall Closed for the exhibitor lunch break

2:30 p.m. - Exhibits Open

5:30 p.m. - Exhibits Closed

 

Saturday, October 19

9:30 a.m. - Exhibits Open

~9:30 a.m. until 11:00 a.m. - Dedicated exhibit time following General Session

1:30 - 2:30 p.m. - Dedicated Exhibit Hall Time Scheduled

2:30 p.m. - Exhibits Closed

2:30 p.m. - 4:00 p.m. - Move-Out/Tear-Down
